Transaction Reports and Refunds

You can view reports of all ecommerce transactions and issue refunds right from within Govstack Forms.

Transaction summary report

A transaction summary report details all transactions collected through Govstack Forms.

To access the transaction summary report:

1. Navigate to the appropriate form
2. Select the “Reports” tab from the toolbar located at the top of the form
3. Click the “Transaction Summary Report” button
4. In the “Payment Date” field, enter the payment date range you wish to see the results for
5. Click the “Generate” button to view the results

Govstack Forms will generate a CSV file for you to download and view.

The transaction summary report will include:

• Transaction date
• Reference number
• Transaction number
• Card type
• Amount

It also provides a summary of the total values per credit card.

Issue a refund

You can issue a partial or full refund on transactions received through Govstack Forms.

To issue a refund:

1. Navigate to the appropriate form
2. Select the “Responses” tab from the toolbar located at the top of the form
3. Click the “View Individual Responses” button
4. Find the response you wish to refund and click “View Response” to see the Order Transaction Summery
5. Click the “Refund” button and enter the full or partial amount you want to refund
6. Select the “Submit” button to process the refund

Refunds are tracked and displayed on the Order Transaction Summary as dollar amounts in round brackets.

Update the refund email template

Govstack Forms will send out an autogenerated email when you issue a refund. To edit the email, follow these steps:

1. Navigate to the appropriate form
2. Select the "Options" tab from the toolbar located at the top of the form
3. Select "Email Options" from the side menu
4. Choose the "System Email Options" hyperlink located near the top of the screen
5. Using the "Name" dropdown menu, select "Email - Refund"
6. Edit the applicable fields
7. Select "Save" to complete the process

Do not edit the tokens in the "Body" field. These are set up to pull responses directly from the form.
